Replacing manual reporting with automated workflows

Taking recurring reports off people's desks so they run themselves.

Achieved results

No numerical results are claimed for this work — only the described outcome, which reflects my professional experience.

Business context

Across my professional experience, recurring reporting has been a common drain on teams: the same files assembled, refreshed and distributed by hand, leaving less time for actual analysis.

The problem

Recurring reports were rebuilt by hand every cycle — downloading exports, copying, cleaning and re-checking totals. The work was slow, easy to get wrong and depended on whoever remembered to do it.

My role

I reviewed the manual reporting workflows, assessed what could be automated, and built the automation where systems and access allowed.

Investigation and approach

  1. 01Mapped the current manual steps in the workflow.
  2. 02Assessed feasibility against the systems and access available.
  3. 03Automated data collection, refresh and distribution using PowerShell.
  4. 04Used AI-assisted workflows to speed up building and validating the automation itself.
  5. 05Validated outputs against the manual versions before switching over, and documented the new process.

PowerShell: collect & merge

A scheduled PowerShell script collects the source files, merges them and standardises columns and formats. Replaces manual download, copy-paste and cleaning steps.

Click any step to see what it does, which manual steps it replaces and which controls are kept. In my experience this kind of automation removes repetitive manual steps, reduces copy-paste errors and frees time for the analysis itself.

Findings

  • Most manual reporting chains contain steps that are identical every cycle — ideal candidates for automation.
  • A review-and-exception queue keeps a human in control of anything the automation cannot validate.
  • Feasibility depends entirely on the systems and access available, so the assessment comes before any promises.
